Before the pandemic, CRIO sites rarely got reimbursed for their use of CRIO eSource. By Q1 of 2023, eSource had become so ubiquitous that CRIO clients were getting reimbursed 50% of the time, per our quantitative analysis.

Now, sites are getting reimbursed 80% of the time.

On a February 13, 2026 SOS podcast, a panel of site experts and CRIO clients, along with CRIO’s own Priscilla Huerta, talked about getting reimbursed 80% of the time.

And in a November, 2025 blog post by Clinical Research Billing (CRB) – a third party vendor that supports sites in budget negotiations and invoicing – CRB reported a success rate of 75-100% on negotiating reimbursement for CRIO technology fees.

What does that mean for sites?

First, whatever you think you’ll spend on CRIO eSource – take 20% of that. That’s what your actual likely net outlay will be.

Second, that cost should come down in the future, potentially to $0. After all, the reimbursement rate has gone from 0% to 50% to 80% in the last 7 years.

Third, you’re still getting all of the efficiencies that come with eSource. Our clients have reported significant – 30% to 40% – gains in productivity, meaning you can take on more studies, process more visits, collect more billings, and recruit and retain more patients when using CRIO eSource.

So the question is no longer “What is the cost to use CRIO eSource?” It’s “What is the cost to not use CRIO eSource?”
